How to Plan a Graduation Party

1. Decide on a date and time. Check your calendar for end-of-the-school year functions, and plan around them. Also, keep in mind that the month around graduation is always busy for people, so consider having your party some time before your graduation ceremony. And if you're having your party at your house, check with your neighbors to make sure you don't plan a party for the same day. This could create parking problems for all of your guests.

2. Determine your budget.
If your budget seems a little tight for throwing a graduation party, consider co-hosting it with other friends or family. Sharing food, decorations and other expenses will really cut down costs.

Here is a list of things that you might include in your budget:

Invitations
Thank You cards
Postage
Rental fee for park or party room
Decorations/Flowers and balloons
Entertainment Tent rental
Table and linen rental
DVD production or scrap book assembly
Banners and signs
Caterer/Food & Beverages
Gifts for the graduates
Cleaning services/costs
Other

3. Choose a location. It can be less expensive to throw a party at your home, but renting a room or space can be more convenient and can take a lot of the planning out of your hands, saving you time and energy. Many restaurants and banquet halls will provide you with catering services, and clean up is usually included.

4. Make a guestlist. The amount of people on your list obviously depends on your budget and the space that you've chosen for your party. Always stick to your guestlist. Inviting additional people will throw your party plans off and could mean running out of food or overcrowding your space. Emphasize this to your kids, in case they're thinking of telling more people to swing by.

5. Buy and send invitations. Make sure you send the invitations at least two months in advance so that people don't schedule other events on the day of your party.

6. Decide on a menu. There is oftentimes a lot of leftover food after parties, so consider buying less of the expensive food and more non-perishable snacks and foods that can be frozen later or pulled out of a freezer if food starts running out. When it comes to the cake, always go bigger if you're not sure about the size you need. The last thing you want is to be short on cake! It can be cheaper to buy a ready-made cake and add your own message with frosting.

7. Buy decorations and a guestbook. Decorate in your school colors! This could save you money, because it can be cheaper to buy solid colored table cloths, napkins and balloons than themed ones. Buy some graduation decorations, and mix and match them with decorations that boast your school colors. The guestbook is important because it will help you keep track of who attended. This is important because you'll need to know exactly who to send Thank You cards to.

8. Buy Thank You cards. You will most likely be receiving gifts or money from most of your guests, so sending Thank You cards is a nice way to show your gratitude. If you want to add a personal touch to your cards, consider sending photo cards with a picture from your party.
