VANOC Privacy Statement

BACKGROUND

VANOC has a mandate to plan, organize, finance and stage the Vancouver 2010 Olympic and Paralympic Winter Games, the Paralympic Games (the "Games') as well as specific Sport Events leading up to the Games. As part of that mandate, VANOC will be involved in promoting Vancouver, Whistler, the province of British Columbia, and the country of Canada and will work with its partners including the Government of Canada, the Government of British Columbia, the City of Vancouver, the Resort Municipality of Whistler, the Canadian Olympic Committee and the Canadian Paralympic Committee. It will also work with the International Olympic Committee, the International Paralympic Committee and the Olympic Committees in the various countries who will be represented at the Games.
As part of carrying out this mandate, VANOC will collect, use and disclose personal information about those participating in the Games as well as about its employees, volunteers, ticket purchasers, spectators and individual customers and clients.
This Privacy Statement serves to inform the public about VANOC’s privacy practices. VANOC also has an in-depth Privacy Policy, privacy policies for its employees and volunteers, a website privacy policy as well as other policies and procedures that deal with VANOC’s commitment to protecting personal information. The terms used in the Privacy Statement have the same meaning as defined in the more comprehensive policies which are available upon written request to the Chief Privacy Officer.
The Privacy Statement is an overview of VANOC’s privacy practices. VANOC will only collect, use and disclose personal information by fair and lawful means. VANOC has also developed a comprehensive General Privacy Policy.

POLICY

VANOC may collect, use and disclose personal information only to the extent necessary to meet the following purposes:

• To fulfill the Games identity and accreditation card program;
• To build venues for the Games;
• To provide transportation to participants and spectators at the Games;
• To organize and stage competitive events at the Games;
• To provide security for the Games;
• To provide accommodation for participants of the Games;
• To carry out its mandate of sustainable development;
• To provide sponsorship opportunities for the Games;
• To provide medical services including health services and doping control during the Games;
• To comply with its contractual obligations under the Host City Contract and the Multi-Party Agreement;
• To provide cultural programs for the Games;
• To facilitate the Olympic flame and torch relay program;
• To provide performances for the Games;
• To provide medals and commemorative medals;
• To ensure legal protection over Olympic symbols and tradenames;
• To carry on a distribution system for admission tickets and merchandise and to provide tickets and merchandise for the Games;
• To carry out advertising;
• To implement its marketing programs;
• To meet statutory and legal requirements.

In order to fulfill these purposes, VANOC may disclose personal information to third parties, including the RCMP, the International Olympic Committee (IOC), the International Paralympic Committee (IPC), the Canadian Olympic Committee (COC), the Canadian Paralympic Committee (CPC) and other national Olympic committees of other countries, provincial and federal government bodies associated with VANOC in organizing the Games, volunteer organizations, and to other third party contractors and outsourced agencies who have contracted with VANOC to assist VANOC to carry out the Games. VANOC may disclose your personal information outside of Canada.

VANOC will only collect, use or disclose your personal information for the purposes identified above, unless it obtains your consent for a new purpose to collect, use or disclose your information, or, if it is entitled to collect, use or disclose your information without consent, pursuant to an exception under the B.C. Personal Information Protection Act.
VANOC will protect your personal information with appropriate security safeguards. VANOC will take steps to ensure that your personal information is accurate and complete if it is likely to be used by VANOC to make a decision that affects you, or is likely to be disclosed by VANOC to another organization.
VANOC will institute appropriate retention schedules for retaining personal information. VANOC will provide individuals with the right to make access and correction requests regarding their personal information, and will institute appropriate complaint procedures. VANOC will ensure that if your personal information is transferred to third parties, the third parties will also institute appropriate measures to protect your personal information.
You may choose to withdraw your consent to have VANOC collect, use or disclose your personal information for the purposes mentioned above at any time, subject to legal or contractual restrictions, and reasonable notice. VANOC will inform you of the likely consequences of the withdrawal of your consent.
