Social Media Profile Ownership ~ Best Practices and Tips

Account OwnershipMany managers at both growing or established companies struggle to find the time and  resources to manage multiple social media profiles. In many cases, an intern or junior employee is assigned the task of getting social networks set up plus tend to posting the messages on behalf of the organization.

Now imagine that the intern decides to take off to Australia to go backpacking for six months — or worse — leaves under less than ideal circumstances. Now what? How do you regain control of your online profile? Getting access back from social networks like Twitter or Facebook can be a support conundrum taking months to resolve – and by that time it could be too late to repair the damage.

Social network profiles are quickly becoming one of the most important parts of your brand and your internal IP. That’s why HootSuite has created “Teams” allowing one account owner to assign tasks and various levels of access while protecting passwords and control.

So… What is Account Ownership?

Lets face it, when you’re dealing with people mistakes can happen. But with HootSuite you retain ultimate control of your account so that if it is compromised you can act quickly, removing users and deleting posts to minimize damage.

If you “own” a social profile in HootSuite, it means that you have the final say over all of the administration. As an account owner, you – and you alone – get to decide what happens with your social media accounts, including who gets to help manage them, and what level of access each team member is granted.

How to Add or Delete a Team Member

Because HootSuite is built as a collaborative social media dashboard, both Pro and Enterprise plans have the option to both add and remove team members, as well as maintain control over what level of access team members have. This means you can assemble a team to write status updates on behalf of your organization without revealing any account passwords. Inversely, account ownership also means you can revoke social media account access to a team member when they move on or change roles.

For most agencies or big businesses, it is necessary to have a number of contributors to your accounts. For example: junior employees monitor comments and mentions, marketers publish messages, contractors measure analytics, project managers delegate tasks and contribute messaging…  and so on.

Indeed, all of these people need access, but not necessarily the same level of permission. As an account owner, you can control who has access to what.

Team Levels

With the HootSuite Pro and Enterprise plans, each team has three levels of users:

Account owner

A social media profile can only have one owner. This class of user has ultimate administrative privileges, including transferring ownership when/if needed. An account owner can invite team members as well as revoke access to anybody. The account owner also decides what level of access team members have – as either advanced or basic members.

A social media account can have multiple advanced team members. These team members have nearly full access to the management of the account, including some administrative privileges. Advanced team members can invite other team members, or revoke access. They cannot, however, revoke an account owner’s access to a social media account, nor can they transfer ownership or change passwords. The advantage of the Advanced team member is that it allows others to manage your day-to-day social network needs without having total control over the accounts.

Basic team member

A social media account can also have multiple basic team members. This class of user simply has the ability to monitor social media streams and submit status updates. They have no administrative privileges nor can they invite other team members to social profile, revoke access, nor transfer ownership. This is perfect for outside contractors, interns, or team members that only need to post to one of your networks – but not all.

Account Management Best Practices

Account ownership is an important role, so to help you achieve the best management of your social media networks, we’ve put together these guidelines to keep you on track:

Ensure the Owner is in a position of authority

AuthoritySome companies entrust their social media accounts to interns or agencies, which can make transfer of ownership tricky should there be a changeover of staff or agency accounts. Rather than setting up key external, or temporary contributors as owners, it would be better for these interns or agencies to be brought on as Advanced Members. This will ensure that any change of staff, agency, or level of authority is controlled by someone trustworthy in your organization, and will keep your account secure.

Never share your passwords

If someone else knows your social media passwords, they can step in and take control away from you, potentially causing a very damaging scenario for your brand. HootSuite’s security allows you to add team members without sharing passwords. Also, by utilizing tools like LastPass, you can provide access to your HootSuite account without compromising the security of your individual social media accounts.

Delegate responsibility

If other commitments prevent you from actively managing your team, transform a basic team member into an advanced team member. An advanced team member can have the administrative capabilities of an account owner without knowing any social media passwords. The advanced team member can then manage the account for you, adding and removing team members as needed, but you still retain control over the security of the account.

Register your HootSuite account with a corporate email address

Sometimes employees create a HootSuite account with a personal Gmail or Yahoo Mail address. This can get messy if they have multiple personal email addresses and cannot remember which address is associated with their HootSuite account. Ensure that whoever owns the HootSuite account registers with a corporate email address so there is no confusion. Getting email information back from social media networks can be a very lengthy process, if they provide that information at all.

Ensure accountability

As we’ve shown here, social media is like a dance with a lot of different dancers, and sometimes there are missteps. Keep yourself in the starring role — ensure everyone on your team is accountable for what they do. HootSuite makes accountability a breeze through our team assignment and auto-initial features.  These enable you to delegate tasks to others and follow up on assignments. Auto-Initial automatically pre-populates status updates with the initials of the team member publishing the post.

A few months back, we launched the HootSuite Learning program to offer comprehensive training for social media professionals about the nuances and features of HootSuite. We also sought to offer an environment to exchange ideas and discuss trends, tactics and strategies for managing outreach and listening activities.

Now with the first batch of grads proudly displaying their badges, we’ve tuned up the Learning site to be a bit more “Hoot-like” with easier access to the courses, quizzes and the important directory of certified pros.

Big Owls on Campus

Now that the quizzes are completed and the grades are in, we’re happy to congratulate the first group of HootSuite Learning program students who are now certified as “HootSuite Professionals.”

All graduates are listed on the HootSuite Certified Professional directory, plus you can identify them by the insignia proudly displayed on their websites.

The list of pros are sortable by city and country so you can find a consultant close to your location as needed from USA, Canada, UK, The Netherlands, Switzerland, South Africa, Ecuador and more.

Guest Faculty

Along with the quizzes and learning modules, HootSuite Learning provides students with “stories from the trenches” as told by an assortment of experienced marketers, authors and managers.

As a recap: In the first month, Lewis Howes demonstrated the power of LinkedIn and shared tips on maximizing this popular business networking tool.

Up next was Lisa Kacerosky from legendary curator of humor, Icanhascheezburger.com. Lisa blew the audience away by revealing the 50+ different profiles she personally manages using the HootSuite and showed exactly how one person can accomplish such a huge task.

Then came Chris Garrett — co-author (with Darren Rowse) of the book “ProBlogger – Secrets for blogging your way to a six figure income — who discussed the business of blogging and creating compelling content for your social media channels.

Following up with a different perspective was Rich Harris, the customer support manager at hardware manufacturer Seagate who discussed tactics for providing customer support using HootSuite.

The latest speaker was Amber MacArthur, host of online shows, writer of columns and author of “Power Friending” who shared her insights about the power and benefits of networking.

Next up is Sean Malarkey discussing ins and outs of Twitter and then an encore webinar by Lewis Howes.

Plus Dave Olson, HootSuite’s Marketing and Community Director, has participated to share freshly released tools, as well as providing some context about how ideas become features in the HootSuite universe.

HootSuite University Starts May 1st! ~ Get Pro-Certified

School is in for Summer

School starts early this summer as we will be launching the HootSuite Pro-Certified training and testing on May 1st.

A number of great individuals and brand representatives have already enrolled in class, and we wanted to give you a checklist of what you will need for the training to prepare yourself for testing.

First off, What is HootSuite University?

The purpose of the HootSuite University is to give people a place to become more proficient with using HootSuite. There are a number of individuals using it, along with agencies, PR firms, and other companies who manage clients using the HootSuite dashboard.

The University will include a HootSuite Pro-Certified training session that will include 4 modules with a test at the end.

What do the modules include?

  • Module 1. The basics and foundation – Setup, integration, populating accounts
  • Module 2. Navigating HootSuite – Navigation, streams, keyword, monitoring
  • Module 3. Advanced navigation – Teams, owners, people, granting permissions, adding/removing members, team settings
  • Module 4. Advanced tools – Advanced strategies, shortening links, tracking, adding files, rss, reply to all, drafts, scheduled tweets, etc.

Once you complete the training for this, a test will appear and it will be pass/fail.  The test will be a number of multiple choice and yes/no questions. If you pass you will then become added to a directory of HootSuite Pro-Certified professionals.

What will certification do for you?

It will let others know that you understand HootSuite to it’s fullest potential, give you more credibility, and give you a badge of acknowledgment that you have gone through the training necessary to fully use HootSuite for multiple purposes.

What else is included in the HootSuite University?

Each month will include ongoing education with best practices using social media sites like Twitter, Facebook, LinkedIn, YouTube,  and include training on blogging, email marketing, and other tools that will help you with your social media and online marketing efforts.

Monthly webinars with top brands or company using HootSuite will be conducted where we will be asking them questions on how they best use HootSuite and social media to market their message, connect with their current and potential customers, and build their business.

Students will also have access to a members only forum where they can connect with fellow classmates, ask important questions, find the best resources online, and engage with a community of those who “get it”.

How long will graduates stay in the directory?

Each member who passes the test will be added to a Premium HootSuite Members Pro-Certified directory. For each month they stay active in the University and stay up to date on the current training and education, they will stay in the Premium directory.

If a member discontinues their enrollment in the Hootsuite University they will be moved from the active member directory to an inactive members directory so others know they have passed the HootSuite Pro-Certified training, but are not undertaking ongoing learning.

This will let companies looking to hire someone with the online marketing and social media work a place to see if those who have passed the training are still getting up-to-date education on the latest social media best practices.

How about early enrollment?

We already have a number of consultants, agencies, and brands who have signed up for the University, and early enrollment ends May 1st so make sure you sign up before then to receive a discount on your education.

Unfortunately, a company can’t sign up all of their employees under one account, as each individual needs to have their own personal profile in order to share their unique voice in the forum and take the test under their own name.  So each employee will need to enroll separately.

However, we will be adding company names to the directory as well, and those who have more members of the company that have passed the testing will rank higher on the list, and will have the number of employees who have completed the training next to that company name.  So the more who join from each company the better.

How to use WordPress with HootSuite

Add some punch to your social media experience by integrating WordPress with HootSuite. It’s simple and hassle-free. Like an uppercut, HootSuite makes blogging that much more powerful.

Initial support is for blogs hosted on WordPress.com, but support for self-hosted WordPress blogs is on the horizon.

UPDATE: We’ve had a number of users report that when they try to add their WordPress.com account into HootSuite it pulls back the wrong blog name and avatar. The cause for this has been identified and WordPress has resolved the issue for us. In case anyone is concerned, there was no way for users to post messages to the wrong blog, it was only an issue with the returned display name and avatar. Everything should be working fine now.
