Administrative and Development Assistant
This position reports to the executive director and development director and includes: assisting the development director in implementing CRP fundraising activity; managing basic fundraising duties, including tracking donors and acknowledging donations; assisting the executive director in administering her office; and conducting other administrative duties (e.g., payroll and accounts receivable/payable) and functions as required.
Basic Responsibilities:
Development:
- Manage donor database, Little Green Light (entering and tracking donor information, segmenting donors, generating queries).
- Manage individual donor acknowledgments (drafting, scheduling and processing all letters).
- Manage and produce individual donor solicitations (periodically in print, more frequently online).
- Manage the public listing of CRP donors.
- Create/Manage/Maintain a calendar of institutional proposals and letters of inquiry, and, with the development director, coordinate submissions.
- Create/Manage/Maintain an institutional grant schedule, track reporting requirements and, with the development director, coordinate reports.
- Research existing and prospective donors as required.
- Produce periodic reports on donor/donation metrics.
- Assists with other fundraising projects as requested.
Administration and Finance:
- Track employee leave and generate payroll.
- Use Quickbooks to pay bills and record deposits.
- Answer incoming telephone calls and e-mail inquiries.
- Order supplies.
- Maintain inventory of printed and promotional material.
- Process new employees.
- Manage office, including maintaining accounting and personnel files.
- Assists with project management, including planning and coordinating project scheduling and administrative tasks.
- Coordinate volunteer board and committee meetings.
Qualifications:
- At least 1 year fundraising/development experience.
- Excellent written and oral communication skills.
- Strong interpersonal skills.
- Energetic, self-starter, and well organized.
- Ability to work well both independently and with others.
- Experience in the non-profit community.
- Excellent computer skills, including Microsoft Office, databases (Little Green Light a plus) and accounting software (Quickbooks a plus).
