Dashboard and Jobs

The Administration Panel of CodeTwo Exchange Migration is divided into the following views:

  • Dashboard - allows you to get a basic overview of the program status. You can check there progress of your migrations, activate the program or verify if any errors were encountered.
  • Jobs - designed to manage all your migration jobs. This section consists of the following elements: 
    • List of jobs - contains jobs names along with their progress
    • Ribbon - which allows your to perform all important tasks
    • The main pane - list of mailboxes and their statuses, with all important alerts, a summary and more.

The Dashboard view displays several tiles. Each tile shows a crucial aspect of the program:

  • How to start - helps you getting started with the program. You may simply close this tile if it is no longer needed by you.
  • Good news - here you will receive all alerts regarding running jobs, e.g. if the migration of a particular mailbox is complete.
  • Bad news - is designed to display all information needed to investigate if something went wrong. For example, if the credentials are no longer valid and the program cannot migrate your data anymore.
  • Jobs - displays name and progress of every defined job. A job should be considered as a separate migration, which uses always the same source as other jobs, but the target server can be set independently. 
  • Defined source server connections - a source connection is used to gather data from your source environment. If the source server is Exchange the program needs to be run under the source domain - there can be only one Exchange connection configured at a time. On the other hand, you can define multiple IMAP connections and the installation location is not limited to source environment.
  • Defined target server connections - target server is a destination machine that will be used for uploading your items. You can define multiple connections here, so different jobs may migrate the same data to independent environments.
  • Help - contains a list of most useful links that may help you use the software more efficiently or resolve any problems.

Source and target connections

All connections are spitted into two tiles: Defined source server connections and Defined target server connections. You may define multiple IMAP source connections and only one Exchange source connection. If you are using an IMAP server, you have to provide the hostname, port and SSL preference. On the other hand, while using an Exchange connection the software has to be installed directly in the Exchange environment. To manage the connections use the New, Edit and Delete buttons (Fig. 2.).

Warning

Please keep in mind that if there is job running with connection you are editing, the changes will be applied after restarting or rescanning the job.

In the case of target connections, you can define multiple independent connections to on-premises Exchange servers. We strongly recommend to use FQDN of the target server during the configuration as it would enable you to use advanced features like Automatch.

Jobs

This view allows you to manage all defined Jobs. On the left pane you will find a list of defined ones and their progress. On the right one we have put all necessary elements to adjust all aspects of a particular job. Thanks to that you may easily manage mailboxes matching, see most important information regarding the progress and encountered problems or customize the job configuration.

Ribbon

At the very top we have placed a ribbon, which is in turn divided into the following sections:

  • Job - all actions that may be executed directly with a job:
    • New - runs the migration job wizard to create a new one.
    • Edit - opens the migration job wizard for a selected job, so you may change its settings.
    • Delete - permanently deletes a job from the list.
    • Start, Pause and Rescan - allows you to manually control a job
    • Move up and Move down - changes the job position on the list
  • Mailboxes - opens the Automatch page of the migration job wizard, so you may easily match source mailboxes with the target ones.
     
  • Reports - allows you to generate a report of chosen range:
    • ​Overall - basic overview of all defined jobs.
    • Job - a more detailed view of single job, including statuses of particular mailboxes.
    • Mailbox - the most detailed view with exact information regarding particular mailbox.

Job control

Every job may be managed by the Scheduler, so you can set the program to run the migration only on desired periods of time. On the other hand, the ribbon allows you to control the job manually, with the following buttons:

  • Start / Pause - starts the migration process of the selected pairs of mailboxes / public folders. Once you hit Start, the program enumerates items in the source folders and the migration process is initiated. You can click Pause at any point to put the migration on hold. To resume the migration click Start. This way, the program will check through the already migrated items first and then continue the migration from the point when the process was paused.

    Tip

    Please note that if in the meantime any new items appear in the source folders, even if you hit Pause, the program will not migrate them as the particular migration has already been scheduled for the defined number of items. However, it can be done via the Rescan feature.

  • Rescan - restarts migration of already migrated pairs of mailboxes / public folders. This feature enables repeating the migration once you have noticed any missing items in the migrated mailboxes or any new items created in the source mailbox after migration. What this mechanism does is examining the content of all copied folders in search for new items and migrating them. The process will not cause duplication of any of your existing items on the target as it only copies new ones leaving the migrated items unchanged. To stop rescanning just click Pause.

    In particular situations, there might be some important items you need to have on the target mailbox, which content has been modified on the source server, after the migration. In such a case, the Rescan feature will not work as it only copies new items from already migrated source folders. To copy this kind of items, you first need to reset the state of migration of a particular mailbox, remove the particular pair of mailboxes from the Administration Panel, clean up the target mailbox from all previously migrated items, bind source and target mailboxes once again and then initiate the migration with the Start button as for the first time.

    On the other hand, changing location of items in a source mailbox will affect the Rescan process as follows:

    • If an item has been copied from its original folder (A) into another folder (B), the Rescan will migrate the copied item from the new folder (B) to the target server. Consequently, on the target server you will find two copies of your item - one in original folder (A) and one in the new folder (B).
    • If an item has been moved from its original folder (A) into another folder (B), the Rescan will migrate the moved item from the new folder (B) to the target server. However, the item will not be removed from target original folder (A). Consequently, on the target server you will find two copies of your item - one in original folder (A) and one in the new folder (B).
    • If an item has been deleted (moved to Deleted Items / Trash), the Rescan will migrate the item from the Deleted Items (in case you have not excluded that folder). Consequently, on the target server you will find two copies of your item - one in original folder (A) and one in the Deleted Items.
    • If an item has been deleted permanently, the Rescan will not migrate any item. However, the item already migrated to target folder A, will not be removed.

    Warning

    Before you start the migration anew, remember to remove all the previously migrated items from the target mailbox. Otherwise, you will end up with duplicates. As the program uses its internal cache memory to track which items were migrated, not the actual state of target mailbox, resetting the state of migration is necessary.

Job pane

This is the main pane, separate for each job, which allows you to manage it and track the progress. 

Migration data table

This section displays a complete list of mailboxes included in a job along with their statuses. Number of those depends directly on conditions you have set in the Mailboxes step of the migration job wizard. To add or remove mailboxes from the migration, click Change conditions link and apply necessary changes.

As every row represents one pair of mailboxes, it should contain appropriate binding between source and target mailbox in the Matching column. While running the migration, the rest of columns will show exact statistics which are updated constantly. To customize which columns are shown, click Choose columns link.

To easily find desired mailboxes, you may use the search box which is located at the top-right part of the section. To reset the filter, simply hit the X button.

Order of the mailboxes migration is managed by the Priority column - the lower value the higher place in the queue. Therefore, a mailbox with priority set to 1, will be migrated first. You may change this value for any mailbox without pausing the migration - your changes will be applied almost immediately. 

Important

The Total items column sums up columns Migrated itemsExcluded items and Failed items. However, if you see any difference between the Total items column and the amount of items retrieved from another source (e.g. from a PowerShell cmdlet), please check first if you have not applied unwanted filters.

Please also be aware that the software does not migrate some special folders, for example Sync Issues or one which are created while putting a mailbox on the litigation hold. 

Job migration progress

This tile shows the total progress of a job. There you can easily check how many mailboxes are included and which ones are finished. The items statistics allows you to track the progress for all mailboxes included in the migration. The Total column sums up the migrated, excluded and failed ones. To get even more detailed view of progress, you may inspect the diagnostic files as well. To do so, click Log files... and select the desired mailbox.

Tip

For your convenience, the log files are saved in the CSV format. We strongly recommend to use a third-party application to browse the files, like Microsoft Excel, as those usually allows to easily filter all entries.

Good and bad news

Those two tiles display all crucial alerts. An alert is automatically generated in case of important event - for example when migration of a mailbox has just started / completed or if migration failed for some reason. The alerts are automatically divided into Good news and Bad news. Clicking an alert entry will pop out a window with more detailed information.

Job summary

Sums up the configuration of the job you have set previously. This section is especially useful to ensure that no items will be excluded from the migration by any filter. To modify settings of the job, simply hit the Edit command on the ribbon.
