Procedures for Competitive Tendering for Australian Museum: Exhibitions Construction

  1. Tender documents comprising construction, technical drawings and written specifications are prepared in a clear manner for the purpose of the activity being tendered.
  2. A pro forma advice to tenderers is prepared in the form of a letter. The letter includes information about the tendering duration, procedure and the selection criteria and the type and broad conditions of contract to be used.
  3. Selection criteria are established and included in the pro forma letter to each tenderer. The selection criteria usually include: meeting the specification; total cost of service provision; quality assurance and required warranties or guarantees; demonstrated track record in a related exhibition industry; financial stability of the firm and/or the principals; calibre of the key people proposed to be involved; and acceptable standards for contractor work practices in specific relation to the Australian Museum's staff, visitors and site.
  4. Tenderers are called for by public announcement.
  5. A money deposit may be required in exchange for the tender documents. The deposit would be refunded when the tender documents are returned to the Museum with the written tender.
  6. During the tender period any clarification requested by a tenderer requires that the information provided in response is given to all tenderers.
  7. Completed tenders are received in a locked Tender Box at a nominated location.
  8. A Tender Review Committee is convened after the closure of the Tender Period and the returned Tenders are opened and reviewed.
  9. The successful Tenderer is recommended to the Australian Museum Director for appointment as Contractor. In the event that no Tenderer is recommended as Contractor the Tendering Process may begin again.
  10. The unsuccessful tenderers are notified and the successful Tenderer appointed as Contractor.
