GRADUATION INSTRUCTIONS
for
Candidates Completing Requirements for December 2004 Graduation
(Information on this page may change without notice.)
  1. Graduation Forms: September 13, 2004 was the deadline for filing intents to graduate, candidacy forms, committee forms, and programs of study with the School of Graduate Studies.
  2. Oral Exams: October 25, 2004 is the deadline by which students writing master's theses and D.S.N or Ph.D. dissertations must notify the Graduate School of the time, date, and place (building and room #) of the oral exam so that an outside observer can be present. (Students writing Ed.D. dissertations have earlier deadlines and should check with the appropriate graduate coordinator or graduate advisor.) See your graduate coordinator or graduate program liaison for a copy of the form used to notify the Graduate School of your Oral Examination date. November 8, 2004 is the deadline for completing oral examinations for master's theses and D.S.N. or Ph.D. dissertations. ( Students writing Ed.D. dissertations have earlier deadlines.)
  3. Theses and Dissertations: November 15, 2004 is the deadline for filing review copies of Ed.D. dissertations. November 15, 2004 is the deadline for filing review copies of master's theses and D.S.N. or Ph.D. dissertations with the Graduate School. December 15, 2004 is the deadline for filing final copies of all theses and dissertations with the Graduate School.

    NOTE: Review copies are read in the order of submission. Individuals submitting review copies on the review deadline day (November 15, 2004, for Ed.D. dissertations and November 15, 2004, for master's theses and D.S.N. or Ph.D. dissertations) will have little time for revisions before the deadline for final copies. To assure that you have sufficient time for revisions and corrections prior to submitting final copies on December 15, submit your review draft in advance of November 15 (Ed.D.) or November 15.
  4. Microfilming Fees: Microfilming fees for all theses and dissertations must be paid, and a receipt must be presented to the appropriate graduate liaison in the Graduate School, by December 13, 2004.
  5. Transfer Credit: All ETSU credits transferred into the graduate program at ETSU must be on file with the Graduate School no later than November 15, 2004 . All non-ETSU transfer credit must be completed prior to the term of graduation.
  6. Incomplete Grades and Grades of SP and U: All incompletes in courses necessary for graduation must be removed. No student can graduate with an outstanding incomplete on the program of study.
  7. Telephone Number and E-Mail Address: If you failed to list an active telephone number and e-mail address (where you can be reached during the processing of final grades) on your Intention to Graduate form, contact the Graduation Office and your graduate program liaison in the Graduate School. Often the Registrar's Office is unable to reach students during this period when emergencies arise. This information may be sent to Susan Burkey at burkeys@etsu.edu
  8. Financial Accounts and Obligations: Library fines, parking fines, obligations to the Instructional Media Center, returned checks, loan exit interviews, etc. must be cleared by December 13, 2004 . Diplomas and transcripts will not be released until all accounts are cleared.
  9. Address Change: Any candidate for a degree whose current mailing address changes from that shown on the Intention to Graduate form must promptly notify the Graduation Office in 102-B Dossett Hall and the appropriate graduate program liaison in the Graduate School, 920 Maple Street. If your mailing address changes after leaving the campus at the close of the term, notify the Graduation Office at the following address:

  1. Invitations: Orders may be placed for personalized invitations or personalized name cards at the Graduation Celebration in the D. P. Culp Center Atrium area on October 27 and 28, 2004.
  2. Academic Robe, Mortarboard, and Hood: The Academic Regalia may be picked up in the Bookstore at the Graduation Celebration on October 27 and 28, 2004 . You may also pick up the cap and gown beginning November 29, 2004 , in the Registrar's Office (Room 101, Dossett Hall), or you may request that the cap and gown be mailed to you between November 29 th and December 17 th . The shipping charge will be $5.00 and must be included with your request. ( Students do not need to be fitted for the cap and gown .) Students may also purchase permanent, custom-made regalia (Doctoral candidates, in particular, may wish to order permanent regalia) for custom regalia. Special orders for permanent, custom regalia (which require a minimum of eight weeks for delivery) can be placed at the Graduation Celebration in the D. P. Culp Center Atrium area on October 27 and 28, 2004.
  3. Graduation Breakfast: The Graduation Breakfast will be held on Saturday, December 18, 2004, 7:30 – 9:00 a.m. Each graduate is entitled to three (3) complimentary breakfast buffet tickets; additional tickets can be purchased for $7.00 each. These tickets may be picked up in the Records Office, Room 101, Dossett Hall (Administration Building), November 29 – December 17, 2004 , or you may send a stamped, self-addressed envelope to the Graduation Office, Box 70561, Johnson City, TN 37614. Mail orders will not be accepted after December 10, 2004 , and payment must be made by cash, check, MasterCard, or VISA.
  4. Graduation Rehearsal: The graduation rehearsal will be held Friday, December 17, 2004, at 1:00 p.m. in Memorial Center (Minidome).
  5. Graduation Ceremony: The graduation ceremony will be held Saturday, December 18, 2004, at 10:00 a.m. in Memorial Center (Minidome).
  6. Diplomas: Students who do not participate in graduation ceremonies may pick up their diplomas December 20, 2004 in102B Dossett Hall. Diplomas not picked up by December 23, 2004 , will be mailed to the address on file in the Graduation Office.
  7. Career Development: You are encouraged to take advantage of the Placement Service offered by the Office of Career Development. This is a lifetime, free service of interviews, job notifications, and mailing of credentials in support of your application. This office is located in Room 323 Culp Center.
  8. Teacher Certification: Graduates who plan to teach should order a teaching certificate through the College of Education.
