Policies and Procedures

Reservations top

To make a reservation, please call us at 1-800-680-8322 and one of our reservationists will help you find the perfect vacation home! All reservations are subject to 6.5% North Carolina state tax, a 6% Village of BHI tax, and a ½% Brunswick County Tax. You must be 24 years or age or older to obtain a rental license.

Occupancy top

The maximum number of persons allowed in the vacation home is designated in the individual home descriptions and on your rental agreement. Children are counted in total occupancy unless they are under the age of two. Occupancy represents the total number of people allowed to occupy the property inside or outside, daytime or nighttime. Any party exceeding this number will be immediately evicted without a refund.

Passenger Ferry to Bald Head Island top

Plan to arrive at the ferry terminal at least 30 minutes prior to your departing time. Once you arrive at Indigo Plantation the dockhands will help unload your luggage at the ferry terminal. The dockhands will place your luggage on a dolly to be loaded on the ferry. You will then proceed to purchase your ferry tickets at the window (cost of ferry tickets are not included in your reservation). During the summer months we provide valet parking for our guests. You will be mailed a flyer in advance to display in your windshield and we will be awaiting your arrival.
Ferry Schedule and Rates

Parking on the mainland top

There are three parking lots to choose from at Indigo Plantation. Lot B is $7 per day, Lot C is $5 per day and Lot D is $25 for an unlimited amount of time. During the summer months when we valet our guests vehicles we will park them in Lot D, you are welcome to have your vehicles valet parked in lot B or C at your expense. Please keep in mind that if we valet your vehicle and you plan an off island excursion during the week you will need to make arrangements in advance to retrieve your keys. As valet parking services are only available on our turn days of Friday and Saturday between the hours of 3-5 pm for arrivals and 8-11 for departures

Bring Your Best Friend top

There is no need to leave Sparky in a cramped kennel while you are enjoying the Island! There are homes that welcome your dog to vacation with you for a designated fee. Pets are limited to one domestic, house broken dog. Sorry, kitty will have to find a friend to stay with because cats and other animals are not allowed. There is a non-refundable pet fee of $200. This fee should appear on your contract. Let us know when making your reservation if your furry friend is coming along. Pets in non-pet homes are strictly forbidden, and will result in eviction. Pets in pet homes must be registered on your contract and paid for prior to your arrival.

Payments top

One-half of the total rent is due 14 days after you make the reservation. The balance is due 30 days prior to the arrival date. Payments should be made by check, money order or certified check. For reservations made within 30 days of the arrival date, payment must be made by money order or certified check. Personal checks are not accepted within 30 days of the arrival date. Please remember to put your reservation number on your check or money order. Please mark your calendar with your payment schedule, as we do not send out reminders. If any deposit or portion of the deposit is not received by the specified due date, your reservation may be cancelled and the property released for general sale. A $75 bank charge will be assessed for all returned checks. A confirmation lease agreement will be mailed, emailed, or faxed to you. Please read the lease carefully, sign both the first and last page and return it along with the other appropriate paperwork within 14 days of making your reservation. Many of you will vacation with other family members or friends, but only one-person signs the lease. We hold the leasehold responsible for payment, and all of the responsibilities spelled out in the lease.

Cancellations top

We understand that sometimes it is necessary to cancel a reservation. If a cancellation is made at least 60 days prior to your arrival date, a full refund of deposit money will be issued. In the event the reservation must be cancelled by the leaseholder less than 60 days prior to arrival date, deposit money cannot be returned unless the property is re-rented at no loss to the owner. If we are unable to re-rent the property, the full advanced payment will be forfeited. We will make every effort to re-rent the reserved property for the same time period. Please note that we offer Travel and Vacation Insurance, which can help protect your investment in unforeseeable circumstances.

Check-In Procedures top

During Summer and Value Summer seasons, check-in days are Friday and Saturday. Please note in each individual property description which check-in day applies to your vacation home. The check-in time is 4 p.m. year round and is noted in your rental lease. With the size and complexity of our homes, our housekeepers need every minute of the summer season 9 a.m. to 4 p.m. window to ensure the cleanliness of your vacation home. Please do not interfere with their work or pressure our staff to allow you entry before 4 p.m. It is a big job and everyone does his or her best to get you into a wonderfully clean and inviting home.

Accommodations top

Bald Head Island Rentals represents the finest and best maintained homes on Bald Head Island. All homes are individually owned and reflect the personal tastes of each owner. Every effort has been made to ensure that our descriptions, rates and amenities are accurate. However, we cannot be held responsible for changes made by owners to furnishings, rates, and equipment or printing errors. Our homes are well maintained and very clean, but understand that these are unique and intricate homes, which, just like your own, experience a wide variety of unexpected breakdowns.

The essence of your vacation is to enjoy yourself, so we will make every effort to remedy “displeasing” situations and correct any problems you may experience in a timely manner. We have a full-time maintenance department ready to serve you, so please report any inoperative equipment or problems to our Property Management Department promptly. Please understand that certain emergencies do take precedence. For after-hours emergencies, you can call our local office phone number of 910-457-1702 and have the answering service page our property director. This is for emergency maintenance situations only! For medical emergencies, dial 911. For non-emergency situations, please call during office hours or leave a detailed message. You can expect a courteous and professional staff to help remedy these situations; however, refunds will not be issued due to malfunctioning equipment or other guest dissatisfaction.

What is Provided top

Linens are provided as a courtesy to all renters. Sheets and towels will be supplied for your use in all vacation homes we represent. Each home is supplied with the appropriate amount according to the capacity of the unit. Beds will be made up with linens, pillows, and bedspread, and towels will be hanging ready for you to kick your shoes off and relax. Please be sure all linens stay when you leave.

All of our homes feature standard items, which include the following: drip coffee maker, toaster, pots and pans, dishes, utensils, and glassware. A starter pack of toilet paper, garbage bags, soap, shampoo, conditioner, lotion, dish detergent, laundry detergent, and paper towels will be placed in the home for your use. If additional supplies are needed you can purchase these items at the Maritime Market. Each home comes equipped with a crib or pack-n-play, and a high chair. If these items will be needed by your family please let us know in advance. An additional high chair may be rented for $15 per week, and a pack-n-play for $25 per week.

All units offer a telephone, which enables the caller to make local calls at no charge. All long distance calls are to be made collect, charged to your home phone or by credit card/calling card. No long distance or toll calls are to be charged to the rental property phone. The telephone number to the property you have rented is on the front of your rental agreement. If the telephone service is interrupted, we will make every effort to correct the problem but cannot guarantee replacement or repair.

Air Conditioning, Hot tubs, TV’s, VCR’s, porch furniture, grills, docks, recreational games and equipment, and the like are furnished as a courtesy by the owner and are not guaranteed. Refunds will not be given due to breakdown.

Rental Homes for Sale top

In the event that the property you are renting is on the market for sale, we may find the need to show the property during your stay. We will make every effort to schedule the showing at a convenient time and not interrupt your vacation.

Construction top

Bald Head Island is a growing resort community and new construction is evident throughout the area. If you rent a home near new construction, please be tolerant of the possible additional noise and other concerns. Please realize that this situation is a matter beyond our control. Sorry, no refunds or moves will be made.

Golf Cart Regulations top

You must be at least 16 years old and possess a valid driver’s license to operate a golf cart on Bald Head Island. Golf carts are subject to all laws applicable to operation of a motor vehicle on a public road. These laws are enforced by the Bald Head Island Police Department. All of our homes are equipped with either one or two golf carts. If additional carts are needed, you may rent carts by the hour, day, or week from Island Passage 910-457-4944. Or call our office at 800-680-8322 and our reservationist will be glad to call and reserve a golf cart for you.
