Rental Rules and Information
 

We welcome you to a great vacation on Bald Head Island. Enjoy a family atmosphere that allows you to kick back, relax, and soak up some sun. We hope to give you a vacation that you will remember forever. Please view our general guidelines and information. RENTAL PAYMENT

After making your reservation, you will receive a Vacation Rental Agreement. Please check all of the information for accuracy, sign, and return it along with payment of one half the gross rent, trip cancellation insurance, if purchased, and a $30 non-refundable administration fee. This fee covers additional guest services and administrative costs. This must be done within 14 days of making your reservation. Unconfirmed reservations will be cancelled without notice after the due date. Personal checks or credit cards are acceptable.
Balance of your rental payment must be received 30 days in advance of your check-in date. Personal checks are also acceptable for the final payment if received 30 days in advance of arrival. If a reservation is made 30 days prior to check-in date or less, this will require credit card confirmation until certified funs are received. Credit cards are accepted for a security deposit. Taxes are 7% State and 6% Bald Head Accommodation = 13%.

PARTIAL WEEK/HOLIDAY RESERVATIONS

Call for prices on partial week rentals. Partial weeks with a 2 or 3-night minimum will require 13% tax, $30 non-refundable reservation fee, and travel insurance (if applicable) to be added to rental rate. Credit card confirmation is required when booking your reservation. Reservations made 2 weeks or less prior to arrival will result in automatic charge to your MasterCard or Visa. After confirmation is made, all nightly cancellation procedures apply with receipt of a signed contract.

DAMAGE/CLEANING DEPOSIT

A credit card number and signed affidavit is required on all reservations for a damage/cleaning deposit. In event of a violation of our rules and regulations, Bald Head Island Vacations will process the credit card number furnished and debit tenants account for the necessary charges. In the event you do not have a credit card, a $500.00 refundable cash deposit will be required upon check-in. If the unit is left clean and damage free the cash deposit will be returned within 45 days from your departure date. We ask our guests to report any breakage or damages upon occurrence and settle the matter before departure. All rental units are carefully checked for damages after guest departure.

OFF-SEASON EXTENDED STAYS

Where else can you go fishing, crabbing, shrimping, clamming, or shelling almost every day of the year? Come and join us for a long fishing trip, golf outing, business retreat, or simply walk on the beach. Bald Head Island Vacations challenges you to come and enjoy a long getaway. A Bit of the Good Life! During late fall, winter and early spring, Bald Head Island is the best place to plan your extended stay. Many of our homes and condos oceanfront to golf course are available for periods of 30 days or longer. Rates and details are available upon request.

OCCUPANCY

Restricted to the number of occupants (2 per bedroom) as described for that home per the NC Septic Law. We maintain a family atmosphere for the quiet enjoyment of our guests. We rent only to family groups, married couples and responsible adults over the age of 21.
Absolutely no house parties allowed! Occasions such as weddings, receptions, and family gatherings must be requested in writing and approved by the Agency and owner prior to the execution of a lease. All resort properties are privately owned and reflect the individual taste of each owner. Every effort is made to see that our properties are adequately equipped and properly portrayed in the brochure.

GOLF CARTS/BIKES

Electric golf carts are subject to all laws applicable to operation of a motor vehicle on a public road, including the requirement that operators must be at least 16 years old and possess a valid driver's license. All traffic ordinances are enforced by the Police Department of the Village of Bald Head Island, and violators will be fined. Rental guests will be responsible for any damages caused to an electric vehicle or caused by an electric vehicle, which they or any member of their party is operating. Under the age of 16, bike helmets are required..

DEPARTURE MAID SERVICE

All of our homes include departure maid service as part of the rental price. We ask that you put your dishes in the dishwasher and take the trash out.

CANCELLATIONS

Weekly & Nightly:
If you must cancel a reservation, phone our office as soon as possible. If a reservation is cancelled, regardless of the reason, any advance rent paid will not be returned unless the property is re-rented for the same period and a deposit has been received from the new tenant. If re-rented, then the advance rent less 20% will be refunded.

DISCLOSURES

  • All monies received by agent will be held in a trust account with Centura Bank at Southport, NC, a federally insured institution.
  • Article 4 of the NC Vacation Rental Act authorizes the rental agent by law to evict a tenant under certain circumstances. Please refer to a copy of the lease, which will be provided, and is hereby incorporated by reference.
  • We reserve the right to substitute comparable accommodations without notice or liability should the unit be out of order.
  • Bald Head Island Vacations will not be responsible for any accidents occurring on or because of rental property.
  • Every effort has been made to assure that all descriptions, prices, and locations are accurate. However, descriptions, prices, and locations can change without notice. Bald Head Island Vacations will not be responsible for errors or changes made by printing errors, homeowners, or even nature.

EQUIPMENT & FURNISHINGS

All rental accommodations have fully-equipped kitchens, coffee makers, dishwashers, washers and dryers, vacuum cleaners, color TV's, microwave ovens, HVAC, telephones, bath towels and bed linen. Cribs and crib linens must be requested when reservation is made. Each unit has one or two four-passenger electric golf carts unless otherwise noted. Complimentary initial supplies of cleaning products, paper towels, bath tissue and soap are provided at check-in. Additional supplies can be purchased at the Maritime Market. Locked closets are maintained by homeowners for personal use. Please respect these areas.

ON ARRIVAL

When guests arrive at the Indigo Plantation and Marina ferry landing, they should place their luggage on the baggage racks and make sure an outfitter is aware that their luggage needs to be loaded on the ferry. Guests are asked to put their names on all luggage and boxes. There is no extra charge for luggage, sealed boxes or golf clubs. Large, bulky items such as bicycles, cribs and high chairs will require special handling and a cargo ticket at an additional fee. Larger items such as windsurfers may require more than one special cargo ticket depending upon size. Surfboards do not require a special cargo ticket, but must be hand carried aboard the ferry. Loose items such as open-top bags or boxes, grocery bags, styrofoam coolers, jackets, shoes, tennis rackets, or fragile items such as video cameras must be hand carried. Remember to pack helmets and pads if you will be biking or skating on the island.

CHECK IN/CHECK OUT

Check in is at 4:00 or 5:00p.m. and check out is no later than 10:00 a.m. (strictly enforced). All checkouts should leave keys in the unit.

MANAGEMENT

All rental houses and condominiums are privately owned and are managed by Bald Head Island Vacations. We reserve the right to refuse service to anyone, and will not be responsible for loss of money or valuables of any kind. There will be no refunds because of tenant's dissatisfaction with the home's décor, for any malfunction of equipment, nor for errors in the brochure. Rates, description and availability are subject to change without notice.

Every effort is made to keep all equipment in good working order. Agent is not responsible for the working condition or malfunction of equipment such as TVs, VCRs, stereos, A/C, appliances, etc. Any necessary repairs will be made as soon as possible. No refund or rate adjustment will be made for mechanical failure.

DAMAGES

We ask our guests to report any breakage or damages upon occurrence and settle the matter before departure. All rental units are carefully checked for damages after guest departure.

SMOKE DETECTORS

Please check smoke detector operation upon arrival and notify office of any malfunction.

LOST & FOUND

Bald Head Island Vacations will not be responsible for any personal items left in or around units. There will be a $10 service charge plus shipping and handling if you request items to be forwarded to you. We will gladly charge your credit card. We do not ship C.O.D. Overnight service is available. There will be a ninety day holding period. If items are not claimed within this time frame, items will be discarded.

FIREWORKS

No fireworks of any kind allowed on premises.

FOR BALD HEAD ISLAND VACATIONS RENTAL GUESTS: *

1. If Guests choose to use the Club facilities, they must purchase a temporary membership.

*Rates:
$60.00 1 to 3 day pass (minimum)
$120.00 4 day to 1 week pass
$175.00 8 day to 2 week pass

2. If golf is the only Club activity Guests wish to use, Guest may choose to pay a per person round fee at the published daily rate. These rates are available by calling the Bald Head Island Pro Shop, (910) 457-7310.

3. If you know that you want to dine at the Bald Head Island Club you must purchase a temporary membership.

4. If you are aware of the time of your arrival when you send this contract back, please let us know in order to make your ferry reservations and tram service. (During the summer months ferry tends to be crowded and for your convenience, if we have you a reservation, you are guaranteed a place.
