The big news, as previewed in Intranet Journal back in March, is that version 5.0 includes an optional document management plug-in. Adding DMS to CMS is a natural evolution of the product, which started as a Web site authoring tool and grew into a content management system. Other improvements to version 5.0 include extensions that allow CMS400.NET to seamlessly work with Macromedia Dreamweaver, enhanced XML indexing and search options, and improved calendar viewing. Ektron's new document management features allow users to get up and running with document management quickly and for little cost. The new Windows Explorer-like interface makes it simple to view and add documents, which can be instantly made live on the Web or an intranet, or pushed to a staging server. Supported formats include PDF, HTML, and Microsoft Office. Users can set security for their documents to insure that, even though the documents are live, the user still has control over who downloads them. Further, users can assign tasks to a document, so that it takes advantage of the workflow system already built into Ektron. With Dreamweaver now adding support for Microsoft server controls, Ektron has been able to create extensions that allow the programs to work together. Dreamweaver has been making headways into the .NET space, so this allows Ektron's client base, primarily interactive agencies, to work visually and still retain Ektron's content management features. Search options have been heavily improved with this release, including new customizable search fields for XML tagging. You'll see new fields for holding data for HTML pages, documents, forms, images and other library items. CMS400.NET already had excellent metadata search indexing, letting you search on metadata associated with a file, and now it adds full text indexing. The program will automatically index the entire contents of your PDF files, Office documents, and more, so that you don't need to remember the name of a document to search on it. It's a big timesaver if your department catalogs Word docs with similar names. Instead of opening several and trying to find the one you want, you can simply use the enhanced search to look for particular content. Calendar enhancements make it easier to see your content. You'll find new monthly and daily viewing options, plus you can now position your mouse over a calendar link to get the information in a pop-up box. A few other minor offerings round out the release. Users can now automatically save their documents in PDF form, insuring better compatibility among readers. You can even turn Word documents into PDFs. Also, the application's new Windows Explorer-like interface makes it easy to find the resources you want, and lets you skip using the browser interface. Pricing for Ektron CMS400.NET, which includes the DMS add-on module, starts at $11,400 for the standard edition, which covers one URL and 10 users, and includes one year of maintenance. The new capability to use the OS/400 platform as a file storage server results from a technology partnership that Questys formed with inFORM Decisions, a developer of native OS/400 document management systems. Questys Solutions is a Southern California company that has been developing PC-based document management and imaging systems since 1980. Today, its products, including Questys Pro and Questys Enterprise that have been retrofitted for iSeries connectivity, run on Microsoft Windows operating systems and use the SQL Server and Oracle databases. The Questys document management products make it easier for people to find, view, and distribute a variety of types of documents. As part of a scanning solution complete with optical character recognition (OCR) technology, the Questys software can be used to replace (or augment) paper-based archives with digital archives. The software can also pull electronic files and e-mail into its archive. The true power of any document management system is its indexing capability. By associating a keyword or keywords with a document upon entering it into the system, and then creating indexes based on those definitions, enables users to quickly find and pull up the right document, instead of searching aimlessly through piles of documents. The integration work between inFORM's iSpool module and the Questys solution is finished, inFORM says.
