EndNote on a Windows Network
Frequently Asked Questions

Q: What is the simplest way to set up an EndNote library for shared network access?
A: The simplest way is to use the network's system of file permissions to control the type of access allowed for users and groups. One or two people should be assigned the responsibility for maintaining and updating the library; these users should be granted full access to the file. All other users should be granted read-only access.

Q: Can I format my paper with an EndNote library that is on a network server?
A: Yes, users can format papers using a shared EndNote library.

Q: Can multiple users read the same shared EndNote library simultaneously?
A: Multiple users can access an EndNote database simultaneously as long as the database is restricted to Read Only or Locked status. This will allow users to perform searches, copy information to their documents, and format their papers. EndNote does not perform "record locking" functions which allow multiple users to modify records in a shared database at one time.

Q: Can multiple users add new records or modify records to a shared EndNote library?
A: No, EndNote does not perform "record locking" functions which allow multiple users to edit records in a shared database at one time. If someone is writing to a shared EndNote library, everyone else on the network will not be allowed to access the library.

Q: Do I need to have the EndNote program installed on my hard drive to access a shared library on the network?
A: No, users may access the EndNote application from the network server, if your site has purchased an EndNote Concurrent Use License and the application has been installed on the server. One configuration option is to install one copy of EndNote onto a shared server drive. Users can then run multiple copies of this installation.

Q: If we install one copy of EndNote onto a shared server, can multiple users access it simultaneously?
A: Yes, as long as your site purchases an EndNote Concurrent Use License to cover the maximum number of simultaneous users. For example, if your site will have 15 users accessing EndNote simultaneously, your site must purchase an EndNote Concurrent Use License for 15 users.

Q: Does Thomson ResearchSoft or any of its distributors offer special pricing to accommodate multiple-user access of EndNote?
A: Yes, if you purchase 5 or more copies of EndNote at one time, there is a discount given. You may mix both Macintosh and Windows copies under one order. For more information, please contact Sales.
