Terms and Conditions

1. PAYMENT AND BOOKINGS
a. Bookings may be made in writing, telephone, fax or E-mail.
b. A deposit of £40 per person, (which includes insurance), is required at the time of booking.
c. Please allow 5 working days for cheque clearance. There is a charge of £10 for returned cheques.
d. Balance outstanding to be paid 4 weeks in advance of arrival date. If booking is made less than 4 weeks in advance of arrival, full payment is required with booking.
e. Final joining instructions and directions will only be sent out on reciept of full payment.
f. All Credit Card transactions will incur a service charge (rates available upon request).
g. A booking when accepted is for an overall fixed price. it is not payable by reference to individual persons or activities. The contract price remains payable if persons fail to appear or participate in activities. If this is the result of an insured risk, we shall endeavour to assist in connection with any claim. It is a matter for determination by the Insurers as to settlement of any such claim and does not affext the contract price with oursleves.
h. Some activities require favourable weather. in the event of cancellation because of weather the activity my be rebooked, or a refund made for the activity only.

2. PRICES
a. All information and prices contained in this web-site were correct, to the best of our knowledge, at the time of upload to the world wide web. March 2003.
b. Nottingham Activity Weekends, reserve the right to alter and ammend services and activities as suppliers of market forces may demand.

3. CHANGES IN GROUP NUMBERS AND CANCELLATIONS (See insurance note 5)
a. Group organisers must notify Nottingham Activity Weekends of changes to numbers by 5:00pm 7 days before arrival. Otherwise, charges will be made for the reduced numbers.
b. Nottingham activity weekends reserve the right to levy a £10 charge per person on alterations to bookings.
c. In the event of uninsured cancellation by a member of a group, the person signing the booking form must inform us verbally, immediately and then confirm in writing. Cancellation charges will vary dependant on the date of such communication.

4. OUR SUPPLIERS
a. We endeavour to ensure that our suppliers are reputable and adhere to any industrial standards. They are all independant contractors, we do not act as their agents, nor do they act as our agents. We do not inspect the suppliers equipment, facilities or staff, therefore we do not warrant any suppliers safety standards or performance.
b. We cannot and do not accept any liability in respect of faulty, unsatisfactory or nonperformance of any supplier, nor any claim for personal injury sustained, nor any other claim whether in contract or tort arising out of the provision of the experience by a supplier, any such claim being a matter between you or any member of your party and the independant contract supplier. If any such claim arises then our liability shall be limited to refunding the amount paid to us for the experience.
c. To the best of our knowledge our suppliers carry third party insurance cover for their business. They may ask the participant to sign a disclaimer before undertaking the activity.
d. Any timings given either verbally or in the brochure are approximate times only and are intended as a guideline.

5. COMPLAINTS PROCEDURE
In the unlikely event of a complaint, please write giving specific details including time and place, withing seven days. Your letter should be addressed to the managing director. Nottingham Activity Weekends will endeavor to settle the matter as swiftly and amicably as possible.

6. INSURANCE
a. Our insurance is arranged through British Activity Holiday Insurance Services (BAHIS) and underwritten by Travel and Personal Underwriters Ltd. on behalf of a consortium of insurance.
b. Insurance is mandatory for every person in the group.
c. Insurance is not refundable under any circumstances.
