| SmarterMail 3 allows significant control in the way mail domains and mail accounts may be configured. The subject of this tutorial is what happens to messages you delete from your inbox (for example), and what happens to mail which has been identified as spam and thus filtered into your "junk mail" folder. To begin with, let's talk about what happens when mail is deleted. By default, deleted messages are placed in the "Deleted Items" folder. If you are trying to reduce the disk space occupied by your mail account, simply deleting unwanted mail requires a second step - accessing the "Deleted Items" folder and clearing the contents of that folder (In the "Actions" menu, select "Delete all messages in folder").
Allowing deleted messages to be moved to the "Deleted Items" folder (after one selects a delete function) provides an opportunity for you to recover anything you accidentally deleted. But if you want to avoid this second step of clearing the "deleted" folder, try going into the "Settings/My Settings" menu option, click on the "Display" tab, and set the "Delete Action" to "Auto purge folder". This will cause deleted messages to immediately disappear as soon as you select a delete function.
Now let's say that you have followed this tutorial to automatically move mail that is suspected spam to the "Junk Mail" folder. Obviously, if that folder is not regularly cleared out, mail will accumulate and potentially cause your mail account to exceed the disk space limitations. That would eventually result in warning messages being sent to your mail administrator's account, and if not resolved, SmarterMail may eventually stop accepting received mail. Here's an option that will allow the "Junk Mail" folder to be regularly cleared when you forget to do it manually.
After selecting the above menu option, select the "override" button. If you also have selected the "Allow users to override..."button", then the "Settings/My Folders/Folder Auto-Clean" option will appear for all users (see below).
Both the domain and personal Auto-Clean settings offer a screen such as is depicted below.
The SmarterMail manual describes this feature as follows:
Folder Auto-Clean is a method for limiting how much of your account disk space is used by the Junk E-Mail, Sent Items, and Deleted Items folders. By placing limits on the size of these folders, you can help ensure that your domain accounts do not fill up unnecessarily. Oldest messages will be deleted from the folders first. If you override the auto-clean settings, the settings you choose will trickle down to your users.
The manual goes on to remind the reader:
Note: If auto-clean is active on a folder, messages will get deleted from it eventually, so do not keep messages in that folder if you want to keep them.

If you are using the default auto-clean settings set up by your administrator, you will be shown them on this tab.
In the case that you have chosen to override the settings, the following options appear once for each folder that can be auto-cleaned.
Enable auto-clean for this folder - If this box is checked, then auto-clean will be active for the specified folder.
Folder size BEFORE auto-clean - Once the folder reaches this size (in megabytes), the auto-clean process is started, and older messages are cleaned.
Folder size AFTER auto-clean - This is the goal size for the auto-clean process. It will try to delete older messages until the folder gets to this size. This number should always be lower than the "before" number.
That's it! With some careful consideration of what actions you wish to take against incoming spam, and then making the appropriate setting to keep the size of the "Junk Mail" folder in check, you may just be able to keep spam under control.
