How Hosted Email Archiving Works
Email archiving with LiveOffice is a simple three-step process: Plan, Configure and Archive. In most cases, we can quickly work through these steps and implement a solution within a few days (depending on size, complexity and volume of your legacy migration).
Plan
We have streamlined the process with a proven, turnkey plan to ensure a quick and seamless implementation.
- Develop a customized implementation plan
- Assign a project manager
- Establish project timelines and define key milestone dates
Configure
The configuration phase is an easy-to-follow, step-by-step process:
- LiveOffice provides detailed journal instructions for your particular mail server (journaling effectively sends a copy of every inbound, outbound and internal email that hits your mail server to the archive)
- Optionally, you can perform an MX-record re-point and configure an outbound connector, so all of your mail server traffic flows through LiveOffice on the way in and on the way out
- Setup the domain names and mailboxes you want archived in the system
- Establish any policy rules and lexicons (lists of words or phrases that trigger automatic alerts) to meet the needs of your organization and conform to industry regulations
Archive
In the final phase, we verify that the system meets your corporate and/or regulatory requirements. This includes:
- Providing training for your system administrators and end users
- Loading historical email messages into the system (if required)*
- Thoroughly testing the system to ensure that the journaling (or MX re-point) is functioning correctly, and that all email data is being received by the LiveOffice archive
- Performing a post-implementation survey to find out how we performed against the established plan
